My on-the-day coordination service is designed for couples who want to organise their own wedding but would love an experienced professional to take the reins in the final weeks and oversee everything on the day itself.

I’ll get to know your plans, liaise with your suppliers, organise the logistics and make sure everyone knows where they need to be and what needs to happen. When your wedding day arrives, I’ll be there to manage the details behind the scenes, leaving you free to enjoy every moment.

How it works

My coordination service begins approximately four to six weeks before your wedding, giving us time to review your plans, understand your priorities and make sure everything is ready for the big day.

Here’s what’s included:

Planning handover: A detailed consultation to review your plans, bookings, priorities and outstanding tasks.
Running order: Creating a comprehensive wedding-day schedule covering suppliers, setup, key moments and timings.
Supplier liaison: Contacting your suppliers ahead of the wedding, confirming arrangements and making sure everyone understands the plan.
Logistics and floorplans: Reviewing layouts, setup requirements, access arrangements and the practical details needed for a smooth-running day.
Final preparations: Identifying potential gaps, checking outstanding arrangements and helping ensure everything is ready.
Wedding-day management: Overseeing the agreed schedule, coordinating suppliers and managing the practical details as the day unfolds.
Problem-solving: Handling unexpected hiccups calmly and discreetly, without passing the stress on to you.
Your dedicated point of contact: Giving suppliers, your venue team and other key contacts someone experienced to turn to throughout the day.

For marquee and outdoor weddings, my experience coordinating complex setups means I understand the additional logistics involved, from supplier access and setup schedules to layouts, weather contingencies and the smooth running of the day.

What does on-the-day coordination really mean?

Although the service is often called on-the-day coordination, the work starts well before your wedding.

By the time I arrive, I want to understand your plans, know your suppliers and have a clear schedule for how everything should run. That preparation allows me to take responsibility for the agreed logistics and delivery, rather than simply reacting to events as they happen.

It’s important to note that this service is designed for couples who have already organised their wedding and booked their key suppliers. It doesn’t include full planning, extensive supplier sourcing or the ongoing management of your wedding throughout the preceding months.

On-the-day coordination investment

The final fee depends on your venue location, wedding-day timings, complexity and the level of coordination required.

Your proposal will clearly outline the agreed service, including the preparation period, wedding-day hours, staffing and any additional requirements. Extended hours, additional days or more complex logistics can be quoted separately where needed.
